Privacy notice: applicants and participants to our events

Purpose of collecting and processing information: essential information for events such as network meetings, workshops, capacity building events, webinars and networking events that are organised or co-organised by The Anna Lindh National Network in Finland (or Finnish network from this point onwards).  

Categories of data subjects: Applicants and participants to the events. 

Description of personal data: Name, e-mail, organisation, age, nationality, country of residence, dietary restrictions, and motivation letter of the application.  

Recipient categories of data: employees of Finnish Institute in the Middle East and the foundation of the Finnish Institute in the Middle East (FIME), latter of which is the Head of Network; and possible co-organisers of the event. Possible co-organizers are mentioned in the call for applications. As a Head of the Finnish network, FIME will report on its activities to the Finnish Ministry of Foreign affairs and the International Anna Lindh foundation in Alexandria, Egypt. Participant lists, contact addresses, and information on the participants such as organisation, nationality, country of residence and age may be handed over to these institutions during reporting.   

Processing of the data: all personal data is processed with care, and electronic data in physical and cloud locations is protected with physical, technical and administrative safeguards. Access to the databases is restricted to only those employees and associates who need to know that information to process your application and provide you access to the course. 

Storage period or criteria used to determine the storage period of the data: Names of the participants and information on their organisation, age, nationality and residence will be stored for five years, corresponding the minimum time to store the accounting materials. 

Transfer of personal data to a third country: The data will be processed also outside of the EU, as the main office of the institute is in Beirut, Lebanon, and as the headquarters of the Anna Lindh Foundation is located in Alexandria, Egypt.
